Term: Initially to 31st March 2028 but may be extendable.

Hours: A minimum of 21 hours per week, but more hours per week may be available on an ad hoc basis. Days are to be agreed but will normally include Fridays and must include one Saturday per month. Hours must cover 9am to 3:30pm on each day worked.

Salary: £14469

Interviews: We expect interviews to take place in the late afternoon / early evening of Tuesday 12th and/or Wednesday 13th May.

About Us:

Ilminster Arts Centre is a registered charity devoted to bringing arts to the community and supporting artists and performers. It is open to the public five days a week (09.30 - 15.00, Tuesday to Saturday) and is managed by the IAC Trustees and a very small management team, together with the support of over 60 volunteers.
Its principal activities include evening concerts most weeks, a varied programme of creative classes, art exhibitions, a shop selling handmade gifts by local craft makers and an onsite café.

We are looking for an enthusiastic person to join the Ilminster Arts Centre team to provide administrative and operational support in an office environment to a small team.

Please note that the duties listed below may change over time as the work within the IAC office evolves.

MAIN DUTIES AND RESPONSIBILITIES

  1. Creating and processing orders and invoices
  2. Processing and reconciling payments, including end-of-day cashing up
  3. Issuing and managing contracts with artists etc.
  4. Creating and maintaining databases
  5. Updating and maintaining websites and social media streams
  6. Producing and distributing newsletters and promotional materials
  7. Dealing with routine queries by email, phone and in person
  8. Managing mailboxes
  9. Organising events
  10. Supporting volunteers in their activities
  11. Acting as Duty Manager at least once a month
  12. Joining the IAC’s teams of First Aiders and Fire Marshals (training will be provided if needed)

PERSON SPECIFICATION

ESSENTIAL

  • Experience of working in a team in an office environment
  • Office based ICT skills
  • Experience of financial processes within a retail or commercial environment
  • Excellent communication and interpersonal skills
  • GCSE English and mathematics, or equivalent
  • Ability to work without supervision (after appropriate training) and to keep calm under pressure

Desirable

  • Experience of creating spreadsheets
  • Experience of working with volunteers
  • Experience of working in an arts-based / charitable organisation
  • Interest in the arts
  • Due to the nature of the role, being based locally would be an advantage

CIRCUMSTANCES TO CONSIDER

  • The IAC office is located upstairs, and the work entails some physical activity such as running errands, moving tables and chairs (within published health and safety guidelines on manual handling).
