JOB SUMMARY

The role will be responsible for leading on all financial operations of Newlyn Art Gallery & The Exchange, supporting the Team, Director and Board with financial acumen and insight to ensure finance is integrated into all decision-making. The role will lead on financial management of capital developments, as applicable. They will provide financial support to colleagues and stakeholders of the business ensuring a smooth and efficient running of the finance departments.

KEY TASKS AND RESPONSIBILITIES

Attend monthly strategic team meetings, quarterly Board of Trustees meetings, and the AGM.
Ensure that the department delivers secure accounting and control of financial transactions, monitoring performance against budget of individual departments and the whole organisation.
Maintain monthly Balance Sheet for prepayments, deferred income, accruals.
Produce monthly management accounts pack, with narratives, and annual accounts to aid Board level decision making.
Maintain beneficial cash management; ensure reconciliation of current and other bank accounts; ensure accurate and timely data entry on accounting ledgers and other records.
Create and update Cashflow Forecasts for management and board reporting; create bespoke cashflow forecasts for discrete projects.
Prepare financial data ready for annual audit and production of annual accounts (through external auditors). Work with auditors on statutory audits.
Support senior management team with applications for capital and revenue funding with financial analysis as required.
Process claims for grant and other funding stream payments and report against budgets.
Ensure Gift Aid and Museums & Galleries Exhibition Tax Relief claims are processed regularly.
Ensure timely payment of all invoices and debts, and prompt collection of monies.
Ensure timely and accurate operation of payroll and PAYE, plus associated payments such as pensions, SMP, SSP etc, and issuing of staff contracts.
Produce and submit all information required by the Charity Commission and Companies House.
Regularly review the working practices and look for ways to improve organisational efficiency through the automation of key finance tasks and up to date accounting systems.
Make recommendations to the Directors to improve the performance of our earned and contributed income activities.
Ensure compliance with UK charity legislation and regulations.
Ensuring robust and rigorous financial processes are in place within the organisation by developing and monitoring internal financial controls.
Being a key point of contact for other departments on financial and accounting matters.
Performing periodic financial analysis to detect and resolve problems.
Monitor internal controls to safeguard the charities assets.
Agree annual performance targets for the department.

To undertake any other duties commensurate with the post that shall from time to time be  determined by the Director.

To act as an advocate for Newlyn Art Gallery & The Exchange.
To nurture partnerships and networks that develop opportunities for museum development,
To support positive relations with principal funders, donors, and investors.
